Bookkeeping in Kitchener-Waterloo and Cambridge comes in two broad kinds. Low-cost plans record and reconcile your transactions for a few hundred dollars a month. Full-service plans also run payroll, chase receivables, pay bills and send you monthly statements, and they cost more. Pick based on how much of your finance work you want off your desk, then compare prices within that group.
How much does a bookkeeper cost in Kitchener-Waterloo?
We checked the published prices of bookkeeping firms that serve the region in October 2026. Starting prices for monthly plans ran from about $125 to $500. Those plans usually cover recording, reconciling and sometimes HST filing. Payroll, year-end work and catch-up months tend to cost extra. Some local bookkeepers still bill by the hour.
| Type of service | Typical price shape | Fits |
|---|---|---|
| Bookkeeping-only online plan | A low monthly fee, priced by transaction volume. Add-ons billed separately. | Owners with no staff, simple sales and time to handle bills and invoicing themselves. |
| Hourly bookkeeper | You pay for the hours logged. | Businesses with very irregular needs. Costs jump in busy months and during cleanups. |
| Full-service monthly plan | One flat fee for a defined scope that includes payroll and payables. | Businesses with employees, regular supplier bills and customers who pay late. |
Intersect sits in the third row, and we publish our prices. Books & Payroll starts at $1,500 a month. Growth Partner starts at $4,000 a month and adds cash flow forecasting, KPI tracking and reporting for lenders or investors. You get an exact quote, based on your transaction volume, before any work starts. For a wider look at the trade-offs, read what a bookkeeper costs in Ontario.
When is a cheaper bookkeeping-only plan enough?
If you run a one-person consultancy in Waterloo with a few dozen transactions a month, no employees and clients who pay on time, a bookkeeping-only plan may be all you need. Paying for payroll and receivables management you do not use is wasted money.
The low-cost plan starts to cost you more than it saves when:
- You have a payroll. Source deductions have fixed CRA due dates, and late remittances carry penalties. Our guide to CRA payroll remittance deadlines sets out the 2026 dates.
- You spend evenings on invoices and bills. If you still chase customers and schedule supplier payments yourself, the cheap plan has only taken the data entry off your desk.
- A bank or investor wants numbers. Monthly statements you can hand over the same week beat a scramble to rebuild a quarter.
- You are behind. Catch-up months are often billed separately on low-cost plans. Books & Payroll includes catch-up bookkeeping when you start mid-year.
What is included in a full-service bookkeeping plan?

Do Kitchener-Waterloo businesses charge HST?
Yes. The HST rate in Ontario is 13% (CRA: GST/HST rates, rate current for 2026, accessed October 4, 2026). Most businesses must register for GST/HST once their taxable sales pass $30,000 in a single calendar quarter or over four consecutive calendar quarters (CRA: when to register for and start charging the GST/HST, rule current for 2026, accessed October 4, 2026).
A Waterloo startup can cross that line in one strong quarter. From then on you charge HST, file returns and keep records that support every number on them. The CRA generally requires you to keep records and supporting documents for six years from the end of the last tax year they relate to (CRA: how long to keep your records, rule current for 2026, accessed October 4, 2026). Our 2026 HST filing deadlines guide covers when the returns are due.
Can a Guelph bookkeeper serve Kitchener, Waterloo and Cambridge?
Yes. Day-to-day bookkeeping runs on cloud software, so you can judge a bookkeeper on how fast they answer, wherever their office is. We work most often in QuickBooks Online and can also work in Xero or the system you already use.
Intersect is an Indigenous-owned firm based at 42 Carden Street in Guelph, next door to Waterloo Region. Clients across Ontario reach their bookkeeper directly by phone or email, and when a decision deserves a sit-down, our office is close by.
We are not a CPA firm. Intersect handles bookkeeping, payroll, HST/GST filing, financial reporting and advisory work. When your corporate return or lender-ready statements need a licensed accountant, we hand them clean, reconciled books. Our bookkeeper vs. accountant guide explains the split.
How do I compare bookkeeping quotes?
Put each quote through these four questions:
- What is excluded? Get the add-on list in writing, with prices.
- Who runs payroll and makes the CRA remittances: the bookkeeper or you?
- How often do I get financial statements: monthly, quarterly or once a year?
- Who answers when I call, and is that the person who keeps my books?
Add up the base fee and every add-on you would actually use. Then compare totals. If you want to hear our answers to all four, get in touch or book a free consultation below.
